title: Fleet Administration Specialist
Location - Kolkata
Key Responsibilities:
2+ fleet-related financial and
administrative transactions within agreed SLAs.
Manage P2P activities including
purchase orders, invoice receipting, and supplier coordination.
Maintain supplier master data and
ensure compliance with documentation and governance standards.
Support financial reconciliations,
reporting, and process controls to ensure data accuracy and compliance.
Lead and supervise a team handling
high-volume, accuracy-critical fleet administration tasks.
Drive productivity, quality, and SLA
adherence across daily operational activities.
Monitor transaction quality and
implement controls to prevent errors.
Coach, mentor, and manage team
performance in a process-driven shared services environment.
Ensure all operational transactions
are processed accurately within defined timelines.
Prepare and deliver weekly and monthly
operational status reports.
Create purchase orders from email
requests with correct coding and approvals.
Manage invoice receipting and bulk
invoice processing using tools such as Kofax/Speeds can.
Track open purchase orders and GRNI
reports and follow up with suppliers for pending documents.
Resolve accounts payable queries
including overdue payments, missing invoices, and statement checks.
Maintain supplier master data
including bank details, compliance, and insurance updates.
Process FX payments, monthly journals,
accruals, and fleet-related financial entries.
Prepare fleet reports such as Fact
Book, Light Vehicle Reports, and supplier data reports.
Maintain accurate documentation and
data across internal systems.
Provide support to finance,
procurement, fleet teams, and stakeholders on operational queries and
reporting.
Mandatory:
Proven experience leading teams in high‑volume, transaction‑driven
environments.
Strong understanding of process controls, quality management, and SLA
delivery.
Excellent verbal and written communication skills.
Demonstrated experience in high-volume transactional processing (AP,
P2P, procurement support, accounts processing or similar).
Understanding of basic P2P (purchasing, receipting) and accounting
concepts (journals, accruals, GRNI etc.
Strong attention to detail, accuracy and documentation habits.
Proficiency in MS Office (Excel, Word, PowerPoint)
